2. Introduction Agreement Between the Client and Sasta Japan

By using, accessing, or making bookings through sastajapan.com, you acknowledge and accept these terms and conditions. In case of violation, Sasta Japan and its subsidiaries (SASTA EUROPE GMBH (SWITZERLAND), SASTA USA, SASTA Baku, Sasta Australia PTY LTD ( AUSTRALIA ), SYT TRAVEL & TOURISM LLC ( DUBAI ) reserve the right to take legal action.

3. Pricing Information- Prices on the Website & Packages Purchase through Offline or Online Mode

· Prices listed on the website include service charges, cancellation charges, and rescheduling fees, all of which are subject to GST.
· The prices displayed generally include accommodation, taxes, and in some cases, meals (such as breakfast, lunch, or dinner). However, they do not include personal expenses like telephone charges, personal services, entrance fees, or bar charges.
· Prices are subject to availability and depend on factors such as seat availability, booking timing, airline policies, and third-party service providers.
. When receiving holiday packages shared via email, whether for B2B (Business to Business) or B2C (Business to Consumer) clients, please note that payment, cancellation, and refund policies may vary depending on the specific package and service provider.

· Available payment methods for online bookings include:

· Net Banking: Supported by all major banks
· Wallets: Mobikwik, PhonePe, AmazonPay, and others
· UPI: Google Pay and other UPI methods.

6. Communication Policy

· When you transact on this site, you will receive an email confirming your transaction status. Sasta Japan is not responsible for undelivered emails due to incorrect contact information you provided.
· SMS notifications sent by Sasta Japan are provided as a convenience but are not guaranteed. If you do not receive an SMS for any reason, Sasta Japan is not liable.
· Sasta Japan does not provide updates on flight schedules, cancellations, or hotel status. You are responsible for informing the service provider about these matters.

7. Booking, Amendment & Cancellation Policy

· The total price displayed on the website encompasses all relevant government taxes. Should there be an increase in the fare at the time of ticket issuance due to airline adjustments, discrepancies arising from server errors, or issues with the payment gateway of the bank, Sasta Japan reserves the right to cancel the booking and retain the amount paid as cancellation charges. Any outstanding balance must be settled with Sasta Japan Private Ltd. upon notification from the company to prevent any inconvenience. · Full payment is required before your booking is confirmed.
· For infant tickets, the child must be under 2 years of age. You must provide valid proof of age when checking in. Additionally, the infant must be accompanied by an adult who is at least 18 years old. Only one infant per adult is permitted. To qualify for infant fares, the infant must be under 24 months of age for the entire duration of the itinerary. If the infant exceeds 24 months, a separate child booking is required.
· For child tickets, the passenger must be aged between 2 and 12 years. Valid proof of age must also be presented at check-in, and the child must be accompanied by an adult who is at least 18 years old.
· All tickets and bookings are subject to the terms and conditions set forth by the respective airline or supplier.
· If a ticket is cancelled directly through the airline's website, office, or call center, the customer must notify Sasta Japan for the refund process. Please note that Sasta Japan does not receive alerts from airlines regarding such cancellations. If a booking becomes unavailable at the time of purchase, Sasta Japan Pvt. Ltd. shall not be held responsible.
· Details regarding amenities, services, routes, schedules, aircraft types, seat availability, and other flight- related information are provided by the respective airlines. Sasta Japan has no control over the accuracy or updates of this information.
· Sasta Japan is not liable for delays or cancellations initiated by the airline, supplier, or operator. If a service is cancelled directly by the airline, supplier, or operator, the customer must inform Sasta Japan to initiate the refund process. Sasta Japan does not receive direct notifications from the operator in such cases.
· Every booking made through Sasta Japan is subject to cancellation fees imposed by the airline, which may vary based on the specific flight and booking class. The cancellation service fees set forth by Sasta Japan, as detailed in the ticket, will apply in the event of a cancellation initiated by the customer or the airline.
· Please note that the Sasta Japan insurance fee is non-refundable, and convenience fees are non- refundable under all circumstances. Certain bookings may be non-refundable in accordance with the specific policies of the airline. Additionally, some bookings may not be eligible for partial cancellation as per the airline’s policy.
· Cancellations can be processed online, offline, or by sending an email request to Sasta Japan. We are available to assist with modifications to your bookings; however, in some cases, you may be required to contact the airline directly. Amendment charges imposed by Sasta Japan are subject to change in line with the airline's policies, which may fluctuate depending on flight schedules and booking class.
· If you wish to cancel tickets within 24 hours of travel, we strongly recommend that you first contact the airline directly. Afterward, you can submit a cancellation request on our website for a refund.
· Sasta Japan is not responsible for any delays, cancellations, or amendments initiated by the airline.
· In the event of a no-show or unutilized bookings, customers must submit refund requests, as per the applicable policies, within 90 days from the travel date for air/rail/cab/bus tickets or the check-in date for hotel bookings. Requests made after 90 days from the travel date or check-in date will not be eligible for refunds, and any unclaimed amounts for such no-show or unutilized bookings will be forfeited.
· If a customer modifies their booking, leading to a rescheduling of the original itinerary, the original booking will be considered amended. Any cancellations made to the original booking will result in the cancellation of the rescheduled booking as well.
· Refunds for cancellation requests will be processed promptly once the request is received. If the cancellation is processed directly with the airline, refunds will be issued after deducting the applicable airline charges, along with Sasta Japan’s service fee. All refunds are subject to the processing time of the respective airline or service provider. Please be aware that the convenience fee charged at the time of booking is non-refundable.
· For international bookings, if the customer is marked as a no-show for the outbound flight, they will also be considered a no-show for the return flight, provided the ticket was issued under a single PNR. In such cases, customers must contact the airline directly before the no-show occurs. Tickets issued by Sasta Japan are valid for one year from the date of issuance or as otherwise specified by the airline’s policy.

8. Hotel Policy

All information related to the hotel, including its category, availability, images, room types, and the amenities and facilities offered, is based on the details provided by the hotel to sastajapan.com. This information is intended solely for reference purposes. Any discrepancies between the website's images and the actual condition of the hotel should be addressed directly by the user with the hotel, and any resolution of such issues is solely the responsibility of the user and the hotel. sastajapan.com assumes no responsibility or liability in this regard.

9. Holidays, Amendment & Cancellation Policy

· Cancellations made 60 or more days before departure: 25% of the tour cost will be charged as cancellation fees.
· Cancellations made between 30 and 60 days before departure: 50% of the tour cost will be charged as cancellation fees.
· Cancellations made within 15 days of departure: 100% of the tour cost will be charged as cancellation fees.

10. Refund,Non-Refundable, Amendment & Cancellation Policies

Refund Tours Policy:
Refunds are processed after receiving a cancellation request by email and approval.
. Refund timelines:
. For transfers: Within 7 working days.
. For sightseeing: 30-40 working days.
. Rail Europe all products - 70 - 90 Working Days
. International Trains - As per train company policy on a case-by-case basis.
· Refund Method: Refunds will be credited to the original method of payment (credit card, net banking, etc.).
Sasta Japan will process refunds as per the given timelines above, but only after receiving the corresponding amount from the relevant airline, hotel, transporter, or other third-party suppliers.
For bookings older than six months, any refunds received from airlines or suppliers, if applicable, may be credited to the customer's virtual wallet. The customer can then transfer the refund amount to their bank account by logging into their Sasta Japan account at www.sastajapan.com. Due to banking procedures, credit card refunds may take up to 72 hours to process, while refunds through net banking transactions may require up to 7 days.
Once the wallet balance is used for any transaction, the remaining funds cannot be transferred to your bank account. However, the balance can be applied toward future bookings.
For late or missing refunds (if applicable), please follow these steps:
· Verify if the refund has been processed by reviewing your bank account.
· Contact your credit card company, as it may take some time for the refund to be officially posted.
· Reach out to your bank, as there may be additional processing time before the refund appears in your account.

In the case of non-refundable tours, it is clearly stated that no refunds will be issued under any circumstances. This means that once a booking for a tour is made and paid for, the customer will not be eligible for a refund if they decide to cancel or change their plans, even if they are unable to participate in the tour for reasons such as illness, personal emergencies, or flight cancellations.
Some key points typically included in non-refundable bookings or tours are:
· No Cancellations: Customers will not be allowed to cancel or modify their booking for a refund.
· Non-transferable: The booking or payment may not be transferred to another person or trip.
· Strict Policy: Sasta Japan, and its subsidiaries or any service provider with a non-refundable policy, will not be liable for any refund requests.
If a customer books a non-refundable tour and fails to show up or is unable to attend, they typically forfeit the entire amount paid for the booking.
Refunds in cases where an airline or hotel is declared insolvent or bankrupt:
Sasta Japan shall bear no responsibility for issuing any refunds if an airline or hotel ceases operations or declares insolvency. Customers, clients, or agents shall not hold Sasta Japan accountable for refunds that were initially promised at the time of booking, should the airline or hotel discontinue operations or declare bankruptcy.

11. Flight Booking Policy

The displayed total price encompasses all relevant government taxes.
· You are obligated to settle the full payment before your booking can be confirmed.
· No refunds will be issued for missed flights or for any flights that are partially used.
· To qualify for infant fares, the infant must be under 24 months of age for the entire duration of the itinerary, including both the outbound and return journeys. If the infant reaches or exceeds 24 months of age by the return leg, a separate booking with a child fare will be required.
· Infants must be accompanied by an adult who is no less than 18 years of age.
· All tickets and bookings issued to the customer shall also be subject to the terms and conditions set forth by the relevant airlines and suppliers.
· Check-in: In accordance with airline regulations, the standard check-in period for domestic flights commences 2 hours prior to the scheduled departure.
For International flights, the check-in time is 3 hours before departure. The passenger needs to check-in at least 2 hrs prior departure for Air India and Air India Express domestic flights, else will be considered as a no show. o Infants must have valid proof-of-age documents showing that the infant is under two years old. o Additional payment may be charged by the airline for seat allocations.

12. Amendments

· Sasta Japan can assist with modifications to most bookings, although in certain instances, it may be necessary to contact the airline directly.
· All bookings made through Sasta Japan are subject to amendment fees imposed by the airline, which may differ depending on the flight and booking class. These airline-imposed charges are non-refundable in the event of a cancellation after an amendment.
· Should you modify your booking, any fare difference, if applicable, will be charged at the time of the change. However, if the new fare is lower than the original, the fare difference will not be refunded. Instead, any applicable rebooking fees will be applied. Please note, airline charges remain non-refundable in the event of a cancellation following an amendment.
· We will collect the applicable charges from you at the time of modifying your travel plans, including any fare difference, if relevant, based on the adjustments made.
· Please note that, in accordance with the airline's policies, certain fares may be non-amendable.
· Any reservations made through our service can also be modified by directly contacting the Airline's Call Center.
· If you have completed a Web or Tele Check-in and subsequently make offline changes to your ticket via our Call Center, a non-refundable fee of INR 300 per passenger, per segment, will be levied, in addition to any amendment charges imposed by the airline.

13. Cancellation Policy

Every booking made on Sasta Japan is subject to cancellation charges levied by the airline, which may vary by flight and booking class. Some booked fares may be non-refundable per the specific airline's policy. The convenience fee is non-refundable in the event of a ticket cancellation by the user or a flight cancellation by the airline. Online cancellations: Cancellations can be made online by signing in to your Sasta Japan Account. Offline cancellations: We also accept cancellation requests by phone. However, Sasta Japan cancellation charges for such offline cancellations may be higher.

In addition to the airline's cancellation charges, for within-India Domestic bookings, Sasta Japan charges a Non-Refundable cancellation fee of INR 300 per passenger per sector. If for within India Domestic bookings, Cancellation is done through the customer support executive's assistance, we will levy INR 500 per passenger per flight. For International bookings (Ex-India/To-India/ Anywhere to Anywhere in the world), Sasta Japan charges a Non-Refundable cancellation fee of INR 649 per passenger per ticket in addition to the airline amendment charges.

Cancellation requests will only be processed if submitted online or made via telephone through our customer support. Sasta Japan shall not be liable to entertain any cancellation requests made through any other medium including but not limited to SMS, e-mail. For e-tickets, if your cancellation request is made less than 3 hours before departure, you'll need to contact the airline directly to get your reservation cancelled.

If you have done a 'Web/Tele Check-in' with the airline, get in touch with the airline for cancellation. Sasta Japan will not be able to process the refund for the same and will not take any responsibility for the same. The convenience fee charged at the time of booking is non-refundable.

For any cancellation made by you for which a refund is already processed and if it is found that you have used/made changes to the ticket on the same PNR directly with the airline, Sasta Japan reserves the right to debit your original mode of payment against the amount which has been refunded to you.

For within India Domestic bookings, if you cancel your ticket offline through our call centre a Non-Refundable fee of INR 500 per passenger per ticket will be charged in addition to airline's cancellation charges. Cancellation policy on tour can be vary and it depends, so before finalizing anything, please discuss this with travel advisor. For International bookings (Ex-India/To-India/ Anywhere to Anywhere in the world), if you cancel your ticket offline through our call centre a Non-Refundable fee of INR 600 per passenger per ticket will be charged in addition to airline's cancellation charges.

14. Refunds

It is mandatory to contact Sasta Japan for all refunds, as the airline will not be able to refund your tickets booked at sastajapan.com. If you require a refund for paper tickets, kindly return them to us. The tickets must be received within 48 hours of the cancellation in order for us to obtain the necessary endorsement from the airline on your behalf. In the event that your paper ticket is lost or damaged, the airline will be unable to process any request for a refund. All cancellations made directly with the Airline need to be intimated to Sasta Japan by Email to initiate the refund process Processing times for cancellation and refund requests vary. o Sasta Japan shall refund your cancellation only after the respective Airline/Service provider processes to your eligible refund. In case an airline ceases its flight operations, any refund owed by the airline to the passenger will be processed by Sasta Japan only after receiving the same from the airline. 15. Airline Guidelines for Pregnant Travelers

Airlines strongly recommend that pregnant women consult their healthcare provider prior to traveling at any stage of their pregnancy. We urge all expectant mothers to familiarize themselves with the specific pregnancy policies of the airline with which they are flying before making travel plans. Key guidelines include:
·Obtain a medical clearance from your doctor or healthcare provider no more than seven days before your flight, confirming that you are fit to travel.
·Avoid air travel if your pregnancy is complicated or poses any risk to your health.
·Consider your due date when planning your return trip.
·If traveling on long-haul flights, assess whether the duration and potential discomfort of the flight are manageable, especially if you are experiencing physical discomfort due to pregnancy.

16. Other Key Terms

· No Show: If a passenger fails to board a flight, it can lead to cancellation of the entire ticket (for connecting flights).
· GST: GST cannot be updated after the booking is completed.
· Visa: Customers are responsible for obtaining any required visa for their travels, and Sasta Japan is not liable for issues regarding visas.
· Liability:Sasta Japan is not responsible for flight delays, cancellations, luggage loss, or other unforeseeable issues.

17. Copyright & Trademark

The products, services, and content displayed on Sasta Japan are the exclusive property of this website. Any unauthorized reproduction or use of the trademarked products and services, without prior permission, will be considered theft and may result in legal actions against the individual, organization, or company involved.

Sasta Japan shall bear no responsibility in the event that an airline provides a refund via Credit Shell. The user agrees not to hold Sasta Japan liable for any issues related to refunds processed through Credit Shell. Any disputes regarding such refunds must be resolved directly between the user and the airline in question

20. Visa Guidelines

Kindly ensure that you possess the requisite visa for the country you are either visiting or transiting through. We recommend reviewing the specific visa requirements with the relevant airline and embassy. International bookings made through Sasta Japan are subject to visa requirements, which include, but are not limited to, transit visas. These must be obtained by the traveller according to the specifics of their travel itinerary and the regulations of the countries they plan to visit or transit. Sasta Japan shall not be held accountable for any issues arising, including but not limited to the inability of the traveler to travel due to visa requirements. Furthermore, Sasta Japan is not liable for any refunds should the traveler be unable to utilize their booking due to the absence or denial of a visa. Any potential refund will be governed by the terms of the booking and cancellation policy. By using Sasta Japan’s services, the traveler acknowledges that Sasta Japan acts solely as a facilitator in providing visa assistance, if applicable. The traveler agrees not to hold Sasta Japan liable for any delays in the visa processing by the relevant embassy. In the event that a visa application is rejected by the embassy, the traveler understands that such rejection is solely due to reasons attributable to the traveller, and Sasta Japan assumes no responsibility for this outcome.

21. Transmitted Material

Communications over the internet cannot be guaranteed as entirely private or secure. You acknowledge that any message or information transmitted to this website may be intercepted by third parties unless explicitly stated otherwise (e.g., encrypted credit card information). We wish to inform you in advance that, following the finalization of the tour package rates, any subsequent increases in entrance fees, fuel charges, guide fees, and other services may incur additional costs. Should the government impose new taxes on travel services, clients will be required to pay the additional amount.

25. General Terms

As a reputable and responsible travel agency, Sasta Japan strives to provide accurate information regarding hotels, airlines, transportation, holiday packages and rail services. However, it is recommended that all clients conduct their own inquiries to avoid any confusion or issues. Sasta Japan is not liable for any loss or damage to luggage during travel. We are not responsible for any delays or alterations to your trip due to unforeseen circumstances beyond our control. We do not accept liability for any injury, loss, or damage incurred while enjoying the holiday packages we offer. Clients are responsible for their own safety during the trip. Additionally, we are not liable for any errors, whether human or otherwise, that may go unnoticed by either clients or our staff.

26. Unaccompanied Minors

Children under the age of 12 will not be permitted to travel unaccompanied unless they are accompanied by an individual aged 18 or older. The child or children must be seated beside the accompanying adult, who assumes full responsibility for the child's well-being during the journey. This responsibility includes ensuring that seating arrangements are made to keep the child or children together with the accompanying adult.

27. Credit Policy for Travel Agents

In cases where travel agents utilize credit services from Sasta Japan and fail to settle outstanding payments within the specified period, Sasta Japan reserves the right to take legal action. Such agents may be charged interest rates, which will be determined at the discretion of the company. Legal steps will be taken if any fraudulent activity is detected by the travel agent.
